Pushing Through to the End of the Quarter

It’s the home stretch of the quarter and we know you are actively working through your projects, grading, and other milestones, even while looking ahead to the break. We offer a few tips that can help you make the most of these final weeks.

Set Priorities. Look over your schedule for the next two weeks. Block out time slots you know you can’t be flexible on: hard deadlines for school, work, and family time. Hold off on meetings or appointments that can actually wait until after the quarter (and holiday break) is done. You’ll start to see where you have wiggle room for things like self-care. The reality is, there is always time take care of ourselves. This can be a glass of water, a healthy snack, getting up from your desk to stretch, a 10-minute walk outside, or even taking a nap to improve your productivity. Setting priorities allows us to realistically see that we do have control over our schedules, especially when stress makes us feel the complete opposite.

Writing. Carve out 30 minutes of time each day to work on your writing. Set a timer, close your web browsers, and unplug from social media. You’ll find that you’re eventually making progress on that larger writing project. For more support, remember that you can schedule an appointment with a writing tutor at your UW campus. You also have the option of reaching out to a peer or two in your department — or from outside of your program — to hold one another accountable for writing by organizing group writing sessions. If you’re considering something more structured beyond this quarter, here are some tips for organizing a thesis or dissertation writing group.

Connect with your support network. It can be a struggle to stay motivated these last few weeks of the quarter and complete what needs to get done. But as Andrea Zellner from GradHacker states, “Don’t underestimate the power of your cheering section. Maybe all you need to get moving is a pep talk.” Call, Skype, or meet up with a close friend or family member, so they can root you on! Attend a community gathering with like-minded peers, such as the upcoming Holiday Gathering for First-Gen Graduate Students in Seattle, or the Holiday Wine, Beer & Spirits Walk in Bothell, or organize a low-key, small potluck with peers to celebrate one another. If you’re needing mental health support — and there is no shame in this at all — reach out to your campus counseling center for an appointment or for community resource referrals.

Check in with advisors and mentors. Maybe you’re in a 9-month graduate program, about to complete the first quarter of your Master’s degree, or heading into the final months of your doctoral program. Maybe you and your advisor or mentor haven’t checked in with each other in a while (because life happens). Whether you are thinking through your goals for winter quarter or needing guidance on your research or next steps in your graduate program, it might be a good idea to schedule a time to meet with your advisor(s). Check in with them via email to see about scheduling a time to meet during early winter quarter. Just scheduling the meeting can give you piece of mind.

Being Intentional and Productive This Summer

Summer is the perfect time to make room for activities and experiences that will help you be—and feel—prepared for the coming academic year! The pace can feel slower during this time of the year, and there’s a little more wiggle room to be intentional about visualizing and achieving your intellectual, professional, and interpersonal goals. Maybe you’re starting from scratch (or already have some initial goals) and just need a plan of action. Maybe you need some structured time and support to work on a writing project? Or maybe you’re interested in career development activities?

No matter where you’re at, below are some initial strategies that can help you create intentional space for productivity this summer!

Create a plan to meet your goals. As graduate students—and as whole people with complex lives—we know that completing your graduate degree is just the tip of the iceberg when it comes to meeting your goals. And we know it takes time to reflect on the skills you already possess—and the academic, professional, and interpersonal competencies you’d like to develop in the future.  Creating an Individual Development Plan (IDP) can help you map out realistic, achievable goals for your time in graduate school and beyond. Use your IDP as a roadmap for meeting with mentors and advisors. What’s great about an IDP is that you can adapt and revise as you see fit!

Make progress on your writing. Whether you are working on a thesis, dissertation, or an article for publication, set achievable and concrete writing goals for yourself this summer. In past Core Programs newsletters, we encouraged you to start out by setting aside 15-minute blocks of time to write each day. Then try working your way up to 30-minute chunks of time. You’ll eventually see that you’re making progress. Reach out to peers (they can be peers outside of your graduate program too) to schedule skype and/or in-person writing support group meetings. You can receive and share constructive feedback on writing projects and hold each other accountable to getting tasks done. Finally, here are great tips on how to move past feeling stuck in a writing rut from Dr. Kerry Anne Rockquemore, President of the National Center for Faculty Development & Diversity.

Get involved in professional development activities. There are many ways to brush up on your professional development this summer. 1) Update your CV or resume with skills and professional experiences you have gained from 2016–2017. 2) Identify conferences you’d like to present your work at for the coming year and mark those proposal and registration deadlines on your calendar. 3) Set up informational interviews to network with professionals currently working in fields or companies you’re interested in working for. 4) Volunteer in your local community to gain skills and to give back. 4) Contact your UW career center at Bothell, Tacoma, or Seattle for guidance with your internship or job search. 5) Check out just a few of our Core Programs newsletter links below on professional development:

Research funding opportunities. Whether you are seeking travel funds to participate in an academic or professional conference or grants to fund your research, start by learning about the breadth of possible funding opportunities available to you. Because application deadlines and eligibility requirements vary widely—and can sneak up on you when you’re busy during the academic year—it’s always a good idea to plan in advance.

Set Yourself Up for Success

Welcome new and returning UW graduate students at all three campuses! Whether you are beginning your very first quarter, in your second and final year of your program, or currently doing lab, thesis or dissertation work, Core Programs is here to support you by connecting you with tri-campus resources, professional development events, and wellness programming. As you begin the new quarter, here are some strategies that that can help set you up for success (your success):

You Belong Here. Some of you are the first in your families to earn a Bachelor’s degree, and now you are going even further by pursuing Master’s or Doctoral degrees. Some of you have moved hundreds, or even thousands, of miles away from your families and communities to attend graduate school. And while many of you are feeling excitement, anxiety, fear, or homesickness (totally normal by the way), the impact of these feelings are experienced unequally based on race, gender, sexuality, economic background, ability, and citizenship. A sense of belonging while you are in graduate school can greatly reduce both isolation and feeling like you will not be smart enough (aka imposter syndrome). We encourage you to reach out and connect with community, as this is vital to your success. Seek out peers, get curious. See below for a list of events and opportunities to connect.

Take It One Day at a Time. Think about what you need to thrive each day. For many of us, this can include time for exercise, enough sleep, time for connecting with a friend or family member, and time to get some work done. Take a look at your daily calendar and plan blocks of time where you can accomplish things from your priority lists and to-do lists, even while sustaining yourself. Graduate school is a marathon that can feel like a sprint sometimes. Keep the big picture in mind – why are you here, and where are you going next? You might have bigger projects you want to (or need to) accomplish. Break those down into manageable and realistic tasks and do just a little bit on the project each day. Before you know it, you’ve made progress.

Take Control of Your Schedule. This one may feel challenging to do when you have so many demands on your time – perhaps classes, research obligations, work responsibilities, family life, etc. And yet, your calendar is your own. Make note of the essential elements in each day and then look for the available spaces that might lie between other obligations. Even with a 15 or 30 minute time block, you can make progress on something that is important to you. Perhaps that is marking off one of the bite-sized tasks from your priority list (it can be energizing just to cross something off!), or stretching or going for a walk, or just resetting with some needed down time. Make sure you are getting what you need, even while you are being responsive to others’ needs. You can set boundaries on your time too. Give yourself 60-90 minutes of productive time and then reward yourself with a 30 minute break. When time feels out of our control, it can add to our feeling of being overwhelmed. Take it back – time is yours.

Making the Most of Seasonal Transitions

Greetings! How has your summer been? If it’s been like ours, there’s been some hard work, some good play, and continual reminders of why we do student affairs work in the Graduate School. Every time we have the privilege of talking with graduate students, we are in awe of your tenacity and creativity.

Some of you may be winding up summer quarter, some may be deep in research mode, others may just be getting started.  We at Core Programs just wanted to check-in and offer a few thoughts for making the remaining month before fall quarter work for you. What do you need most right now?  Is it a real break? Some play time? Some focused effort towards work? Some reflection about what’s ahead for the year?  Although the fall quarter is a little more than a month away, we thought we’d share some helpful tips to help you feel more prepared and ready to hit the ground running.

Set goals.  Make a list of goals that will address your interpersonal, wellness, intellectual, and professional needs.  Break your goals down into manageable tasks.  Deadlines can be self-imposed, but realistic.  Deadlines can also be external depending on whether you are applying for research funding, preparing for your qualifying exams, applying for a job, or ensuring that you block out time for self-care and relaxation.  Remain open to your goals and deadlines shifting, depending on your circumstances.  An individual development plan (IDP) can help you think through, and map out, your goals.

Write.  Maybe you’d like to start writing your thesis, plan to work on another dissertation chapter, or interested in revising that seminar paper so it’s publishable.  Get in the habit of doing structured, timed writing.  Set a goal to write for 30 minutes a day, or every other day, using a timer.  Choose a work space that will enhance your productivity.  For some, it’s the quiet of the library.  For others, it’s a bustling café.  Turn off your web browser and phone (unless you need your phone because of family or work-related responsibilities).  Also, it’s helpful to reach out to peers and have a writing partner or two.  Rely on one another to keep each other accountable to your work.  Here are more general writing resources.

Grow your networks.  Get an early start on your career development and network with professionals in academic, non-profit, private, or governmental sectors.  Your chances of finding, or getting, the job you want increase when you develop and sustain connections with industry professionals.  One strategy is to join LinkedIn (check out this tutorial, if you haven’t joined).  Use its search engine to look up individuals by job title or industry.  Peruse profiles to get a sense of how individuals describe their work, tasks and responsibilities, previous work experience, and the verbiage of their field.  Message individuals whose careers, companies, or industries pique your interest and set up an informational interview.

Find some space to release, reflect, or rejuvenate. While summer is busy for many of us, it also does offer more spaciousness as email inboxes are lighter and the sun is shining high.  Take some time for yourself – alone or with friends – to do something that is solely for you. Set yourself up for fall quarter by “filling your tank” with energy you can draw on as the months ahead get ever more full.  Perhaps start some refreshing habits that could keep you going into the fall.

Ground Yourself These Last Few Weeks of the Quarter

We see how hard you’re working.  You’re running here and there, juggling multiple responsibilities related to all aspects of who you are as a graduate or professional student.  In the midst of this spring quarter chaos, we want to offer you some tips to help ground you in these last few weeks of the quarter.

Connect with your body.  Feeling accumulated tension in your muscles?  Are you having trouble keeping your energy up?  Maybe you’ve been agitated the last few days.  These are all signs that your body is stressed.  We know this is common knowledge, but isn’t it interesting how we can easily ignore bodily feedback and try to plough through the day or week anyway?  Try taking 10-15 minutes out of your day to connect with your body (this is very possible as we can easily spend 10 minutes on social media).  Go for a brief afternoon walk on campus or outside of your home.  Sit in a quiet place such as the library, close your eyes, and take several deep breaths.  Match your caffeine intake with hydrating water (we won’t tell you to cut back on coffee, not now!) .  Keep healthy snacks on hand to make it easy to stay fueled with vitamin rich food. Connecting with your body allows you to be more mindful of your stress level and to actively respond to decrease it.

Shift from distraction to purpose.  It’s easy to get caught in a negative feedback loop of feeling bogged down, frustrated, or depressed about all the things you have to do to close out the year or complete your graduate degree.  And your feelings are totally valid and real.  Yet you are also a whole person and not just the sum of stressful experiences.  In those moments, it’s helpful to remind yourself of your purpose for earning that graduate degree.  You want to contribute to innovation in your field.  You are seeking to impact change in collaboration with your community.  You want to better support yourself and your family.  You want to make a unique contribution to knowledge and research.

Good enough is good enough.  Academia has the capacity to make us feel that we aren’t doing or achieving enough.  Yet in reality, we in Core Programs know that this is just not true.  We have the privilege of collaborating, and engaging in conversations, with a range of graduate and professional students throughout the year.  We get to hear about all the amazing things (no matter how big or small) you are involved in, projects and interests that go above and beyond your degree programs.  We also know that you have families you’re taking care of, working at one or two jobs to make ends meet, or that you are not always validated or seen on campus.  We too have projects that are not yet done, and a long list of things we want to get to.  Your work is never done–this is why the world (and your loved ones) needs you!  We’re telling you right now, you are enough.  And we see you.

Anchor yourself in community.  Make the time in your schedule to hang out with friends, colleagues, or family who care about your well-being and success.  Spend time with people whose well-being you care about.  Reach out to people who share your hobbies and interests.  Go hiking with your best friend.  Plan pizza and a movie night with peers in your cohort.  Make plans for connecting after your last deadline this quarter.  If you’re new to Seattle, consider joining a meetup group based on your interests.  Anchoring yourself in community reminds you that you are a whole person!

What’s the best to-do app/manager for grad students? —Lists Aren’t Cutting It

Well, to start, some of the better-known ones are Any.doDoit.imRemember the Milk, TodoistToodledo and Wunderlist. Keep, Trello and Workflowy are also popular, though they’re not exclusively to-do managers. And some people swear by a text file or just paper. But the best recommendations would probably come from fellow grad students! If you have a suggestion, please leave it in the comments!

Ask the Grad School Guru is an advice column for all y’all graduate and professional students. Real questions from real students, answered by real people. If the guru doesn’t know the answer, the guru will seek out experts all across campus to address the issue. Getting Unstuck, Moving Forward

We know what you’re thinking: why are you already giving me tips on how to move forward from feeling stuck so early in the quarter?  Well, we thought we’d offer you some preventative tips to help you pull through, no matter where you’re at this quarter or what year you are in your degree program.  Besides, everyone gets stuck in life, and graduate school is no exception by any means. There are several factors that can contribute to feeling stuck from getting our work done.  We’ve put together a short list of these, including ways you can move forward.  So let’s begin:

Relieving the pressure.  Looming deadlines for school and work.  Family, community, and financial responsibilities.  Preparing for job searches, interviews, and possible relocations—near or far.  Those pressures can make us feel overwhelmingly stuck.  One way to relieve this weight is to re-focus your attention on what you need right now:  Do you need to slow down and take a few deep breaths (repeat every few hours)?  After that deep breath or two, and in a calmer state of mind, identify a single step you can take for one of your tasks that would help you feel you have accomplished something today.  Each task is just made up of a whole series of steps.  We have to start somewhere, and it often helps relieve the pressure to just take that one step.

Finding value in yourself (despite imperfections). We all struggle and have shortcomings. Indeed, in a job interview a common question is, “Tell me about your weaknesses!”  Being honest about your own limitations – not critical, just descriptive – can sometimes give you the awareness you need to move ahead again.  More often than not, we need a trusted conversation partner to help us see this perspective.  Reach out for support from peers, departmental staff or advisors, loved ones, or campus resources (whomever you feel most comfortable with).

Facing the fear of failure.  Academia can perpetuate the myth that we must be highly productive, all of the time.  And if we’re not, we must be failures.  Not only is this unrealistic and unattainable, this kind of culture obscures actual strategies for how to do our best work—and it can keep us from trying in the first place.  So how can we best manage this?  First, it’s helpful to think of failure in terms of progress over time—so you can grow into being that better professional, practitioner, or scholar.  It’s a process, not an end result.  You try, you learn, and you move forward—all the while validating and/or rewarding yourself each step of the way.  No matter how big or small the milestone.  It’s also vital that you build a support system of people who’ve got your back and will recognize your achievements along with you.

Remembering your purpose.  Feeling stuck can make you forget why you are in graduate or professional school in the first place.  It can also keep you in a false feedback loop that makes you believe that you are unsuccessful or unworthy of achievement.  Whenever you feel this way, remember that you are working hard towards your degree for many amazing reasons and focus on those—whether it’s to making a contribution to a field of knowledge, impacting policy that improves lives, getting a job that you love and that helps you provide for your families.  Remembering your end goals helps us focus on what really counts.

Keeping the Momentum Going Through the End of the Quarter

As we head into the last two weeks of the quarter, some of you are completing your first year of graduate school, wrapping up a capstone project, writing a draft of a dissertation chapter, or eagerly anticipating graduation—all the while juggling family and community responsibilities. Many of you are in the midst of a job search and interviewing for future employment. We at Core Programs understand that it’s crunch time, and we’re here to encourage you to keep your momentum going. Here are some tips to get you through that last leg of the quarter:

Plan and prioritize.  Make a daily list and prioritize what you must complete each day. De-prioritize anything that can wait. Because your time is scarce, create a “wish list” for things you can do after the crunch time has passed, and since they are on a separate list, you can trust you won’t forget about them!

Utilize your strengths.  We wrote about this a few newsletters ago. What time of the day are you most productive? Whether it’s the morning, afternoon, or evening, do your graduate work during the time you feel the most motivated. Incremental bursts of work will allow you to be more productive, rather than setting aside unrealistic chunks of time. You’ll also feel satisfied because you’re actually getting work done.

Get support.  Meet with a peer or two to review drafts of each other’s work or do mock job interviews in preparation for actual ones. Plan to debrief or release stress with a friend or colleague after you’ve worked through a milestone. Working with a colleague not only decreases isolation, it increases accountability.

Self-care.  It’s important to renew your energy level, especially during crunch time. Go for a 5-minute walk after writing for an hour, grade a set of student papers and then listen to relaxing music, or make plans to share a healthy meal with a friend before continuing work into the evening. Do whatever reduces stress, feels rejuvenating, and allows you to get in “me time.”

Acknowledge and reward milestones.  You’re nearly there, and that’s a feat in and of itself! Take time to recognize all your efforts each day and give yourself a treat for doing so! You definitely deserve it!

Surviving and Thriving in Grad School: Crowdsourced Advice from Your Peers

Just a few short weeks into Fall Quarter, the energy level is amped up and the pressures are piling on. We asked current and former UW grad students to give advice to incoming students. We think you’ll find a pearl in these words of peer wisdom.

Go fast, go slow. While it is important in this day and age of finite resources to be efficient in your graduate preparation, it’s also essential to make the most of your graduate experience. With grad school, it really is the process as much as the end result (i.e. the degree).

Get connected.  Finding your people is critical to your success. Look in several places, including outside of your program. Set up regular check-ins with faculty advisors, build a mentoring team (you do not need to rely on just your primary advisor, nor should you), connect with peers, and start building a professional network–inside and outside the University.

Put your learning in context.  Take ownership over your graduate experience, by finding ways to connect your learning with the real world. Volunteer or seek out an internship. Graduate School is just one step in your lifelong learning process.

Be open to surprises.  It is difficult to predict where you will be as you work through your program – your program may change, your goals may change, opportunities may emerge or shut down, and your career may take an unexpected turn. Being flexible and responsive will serve you well.

Take care of yourself.  This is a marathon, not a sprint. Investing in you makes you more productive and efficient in your work, and just generally a better person with your family and friends. There will be crunch times throughout grad school, but it helps to know your go-to strategies for sustaining your energy and clearing your head. This could be exercise, napping, massages, or time with loved ones.  Only you know the activity that resets you and helps you get back to work with fresh energy.
